Job Overview:
We are seeking an organized, high-energy Dental Scheduling Coordinator to manage our patient flow and optimize our clinical schedule. In this role, you serve as the heartbeat of our practice, balancing productive provider schedules with an exceptional patient experience. You will be the primary point of contact for patient check-ins, phone inquiries, and appointment tracking.
Primary Responsibilities:
- Optimize Schedules: Construct and maintain maximum daily productivity for dentists and hygienists.
- Manage Phones: Handle multi-line phone tracking, client scheduling requests, and cancellations.
- Patient Check-In: Greet incoming patients, process intake forms, and update medical histories.
- Active Recall: Prevent gaps by proactively contacting patients due for cleanings or outstanding treatment.
- Data Mastery: Route digital records, insurance data, and demographic updates into the practice management system.
- Collect Copays: Process patient balances, estimate procedural percentages, and collect monies due at check-out.
- Compliance Control: Safeguard patient privacy and maintain strict alignment with modern HIPAA standards.
Required Qualifications:
- Education: High school diploma, GED tracking, or equivalent.
- Tech Literacy: Demonstrated speed in Microsoft Office Suite, email platforms, and 10-key typing.
- Communication Power: Clear, warm, and concise verbal skills suited for heavy phone engagement.
- Multitasking Agility: Ability to rapidly change focus inside a busy, fast-paced medical environment.
Preferred Qualifications:
- Dental History: A minimum of 1–2 years working within a dental or orthodontic front office.
- Software Fluency: Prior operational knowledge of dental practice management systems.
- Terminology Base: Functional familiarity with standard dental codes, workflows, and anatomy.
